Hosted PBX

A hosted PBX is a business phone system that runs in a provider's data center and is delivered over the internet as a monthly service — the same arrangement marketed as a 'cloud PBX' or 'cloud phone system.'

How it works

The name describes the arrangement: the PBX — the brain that answers calls, plays menus, and routes to extensions — is hosted by the provider rather than installed in your building. Your desk phones and apps reach it over your internet connection, you administer it in a web dashboard, and the provider owns the hardware, the upgrades, and the uptime.

If that sounds identical to a cloud PBX, that's because it is. 'Hosted PBX' is the older label from the industry's first wave of moving phone systems off-premises; 'cloud' became the fashionable word later. A few vendors draw fine distinctions — using 'hosted' for dedicated single-customer setups and 'cloud' for shared modern platforms — but in the market you'll shop in, the terms are interchangeable.

Why it matters

Mostly so vocabulary doesn't cost you money. You'll meet all three labels — hosted PBX, cloud PBX, cloud phone system — often describing the same product at different prices depending on which term the vendor thinks you searched for. Comparing a 'hosted PBX quote' against a 'cloud phone system plan' as if they were different categories is exactly the confusion the naming invites.

The real decision underneath the labels is the one that matters: rent the phone system as a service, or own equipment on site. For nearly every small and mid-sized business, renting wins on cost, maintenance, and resilience — whatever the vendor calls it.

For buying purposes, yes — same product, different era of marketing language. If a vendor insists theirs differ, ask what specifically: occasionally 'hosted' means a dedicated setup for your company alone, which can matter for compliance-heavy organizations and rarely matters for anyone else.

The same $10–30 per user per month as everything else in this category, because it is everything else in this category. Watch the same fine print too: annual-billing discounts baked into advertised prices, and taxes and fees adding 20–30% to any US phone bill.

Do I need special phones for a hosted PBX?

No — standard IP desk phones work, free apps on computers and cell phones work, and existing analog phones can connect through inexpensive adapters. Many offices run entirely on the apps and buy no hardware at all.

When is hosting my own PBX better?

Rarely, and for specific reasons: strict data-control requirements, a site with unreliable internet, or an existing modern system that still earns its keep connected to internet phone lines. Absent one of those, the hosted arrangement wins on every practical axis.
